You'll work directly with the founder, managing schedules, coordinating with internal and external stakeholders, and keeping the business engine running smoothly. This is a high-trust, high-responsibility role. You're not just managing time- you're protecting bandwidth, pushing outcomes, and helping drive strategic execution.
Key Responsibilities
1. Calendar ownership: Manage, prioritize, and optimize the founder's calendar across meetings, calls, events, and travel. Block distractions, plan deep work slots, and ensure prep time before critical meetings.
2. Communication management: Draft and respond to emails, WhatsApp messages, and DMs professionally. Prepare talking points and quick briefs for meetings. Communicate on the founder's behalf when required.
3. Follow-up & execution tracking: Keep track of internal tasks, decisions, and follow-ups across multiple projects. Chase deliverables from the team and external partners. Build daily/weekly trackers that help things move forward.
4. Travel & logistics: Plan and manage travel, accommodations, events, and vendor coordination end-to-end. Handle last-minute changes smoothly
5. Research & pre-work: Create crisp briefing docs ahead of meetings- clients, partners, events, or pitch calls. Conduct basic business, competitor, or opportunity research as needed.
6. System building: Build templates, SOPs, and checklists that improve repeatability and reduce chaos. Help structure the unstructured parts of the business.
7. Confidentiality & discretion: Handle sensitive financial, strategic, or legal documents with full confidentiality. Maintain professionalism when exposed to private or personal matters.
