We are seeking a highly organized and proactive Executive Assistant to support our Vice President. The ideal candidate will be a skilled communicator, with strong organizational and time management abilities. This role requires a high level of discretion, attention to detail, and the ability to handle confidential information.
Responsibilities:
- Calendar Management: Manage the Vice President's complex calendar, scheduling meetings, appointments, and travel arrangements.
- Prioritize and coordinate meetings, ensuring optimal time management.
- Communication: Draft and proofread correspondence, including emails, memos, and presentations.
- Communicate effectively with internal and external stakeholders, including senior executives, clients, and partners.
- Event Planning and Coordination: Organize and coordinate meetings, conferences, and other events, including logistics, venue selection, and participant management.
- Manage event budgets and ensure timely execution.
- Administrative Tasks: Handle administrative tasks such as expense reports, document preparation, and filing.
- Manage incoming and outgoing mail and correspondence.
- Team Collaboration: Collaborate with team members to ensure smooth operations and efficient workflow.
- Travel Arrangements:Book and manage domestic and international travel arrangements, including flights, accommodations, and visas.
